Latinos Progresando’s Assistant Director of Operations is a newly created position to support the organization’s growing staff and facilities. Reporting to the Chief Operating Officer, this role coordinates people and organizational operations for a team of 25 employees in two locations. The role best suits a detail-oriented self-starter who enjoys working behind the scenes to make things run smoothly.
Latinos Progresando is a Chicago-based nonprofit organization with the mission to elevate the well-being of the Mexican community. Founded in 1998, Latinos Progresando provides a solid foundation through immigration legal services, builds connections to promote wellness and wealth, and amplifies Mexican voice in civic and cultural life.
Responsibilities
Operations
- Maintain and oversee organizational calendars, ensuring timely execution of key tasks and effective staff communication regarding deadlines and events
- Help organize staff meetings, outings, and trainings
- Assist in budget tracking and invoice processing for operational expenses
- Track vendor contracts and, working with the COO, ensure timely renewal or cancelation of contracts and policies; create and maintain vendor files
- Support IT and equipment needs by coordinating with external vendors, including facilitating support and repairs for employee equipment, maintaining inventory and monitoring warranties, and identifying emerging needs
- Support the operation of LP’s facilities by identifying and reporting maintenance and security issues, coordinating vendors, assisting with furniture and equipment setup, responding to staff requests in a timely manner and maintaining accurate records
- Oversee office and janitorial supplies inventory and coordinate purchases
Human Resources
- Assist in employee recruitment processes, including posting job openings, screening resumes, and scheduling interviews; maintain job description library
- Support new hire onboarding and orientation
- Maintain accurate and confidential employee records and HR files
- Assist with benefits administration, including enrollment and employee inquiries
- Draft and send internal communications regarding policies, procedures, professional development opportunities, events, and related matters
- Ensure compliance with employment laws and organizational policies
- Update organizational chart, staff directory, and related documents as needed
- Support the annual performance evaluation process
Requirements
- Minimum 3 years of relevant experience
- Proficiency in Microsoft Office Suite and Google tools
- Initiative and ability to engage multiple, diverse stakeholders to achieve shared goals
- Ability to multitask and prioritize
- Strong attention to detail and organizational skills
- Effective communication and problem-solving skills
- Comfortable and confident in a fast-paced environment
- Punctual and reliable
- Ability to speak and write in both English and Spanish a plus
This position’s full-time salary starts at $58,000, commensurate with experience. Latinos Progresando offers health and dental benefits, 401k, and ample paid time off, including paid holidays.
